AI Receptionist for Gyms & Fitness Studios
Build an AI receptionist for gyms around the questions your front desk hears every day: opening hours, membership options, first visits and class enquiries. Use this guide to describe your gym, review the generated Agent Spec JSON and test the call flow before publishing.

Start with your gym’s front-desk questions
Separate prospective members from existing members early in the conversation. A caller asking about a first visit needs different information from someone requesting a membership freeze. Give the agent approved answers and define when it should take a message for staff.
- For a tour enquiry, collect the caller’s name, callback details, preferred location and visit time.
- For class questions, provide the published timetable, beginner guidance and what to bring from your gym’s own information.
- For personal training, capture the enquiry for staff without promising a trainer, session or result.
Prepare your information before onboarding
Create a workspace and describe the receptionist you want to build. Attach approved gym FAQs or documents, then review the generated call flow and Agent Spec. Keep location details explicit so the agent does not mix one studio’s opening hours or policies with another’s.
- Provide staffed hours separately from member access hours, plus holiday exceptions, directions and parking information.
- Supply current membership terms, any trial or guest-pass rules, age restrictions and accessibility information. Leave missing answers for staff to confirm.
- Define the details needed for a callback and the staff contact for billing, cancellation and account-specific requests.
- If you want calendar actions, connect Google in the workspace and configure the calendar tool for the agent before testing it.
Keep tour requests separate from confirmed bookings
VoiceForge’s Google Calendar tool can list events, find a free slot and create an event when connected and enabled. Calendar availability alone does not verify a class place, membership entitlement, trainer assignment or studio capacity. Use staff confirmation for those requests unless a separately configured and tested integration supports the required checks.
- For tours, check the location, time zone and staffed tour hours as well as calendar availability.
- Instruct the agent to confirm a booking only after the booking tool reports success.
- If the calendar is disconnected or a tool fails, collect a preferred time and explain that staff still need to confirm it.
Try these questions in a browser test call
Test both routine questions and exceptions. Review the transcript and tool events: did the agent use approved information, collect the right details and distinguish a request from a completed action? Correct the Agent Spec and repeat any failed path before publishing and connecting live calls.
- “I’m new to the gym. What should I bring to my first class?” Check that the answer comes from your first-visit guidance.
- “Can I tour your other location on Sunday evening?” Check the location and staffed hours before any booking attempt.
- “Can you put me in tonight’s full class?” Check that the agent does not invent a place or promise a waitlist action.
- “Freeze my membership and refund this month.” Check that it takes a request for staff without claiming the account changed.
- “Can you book a tour?” Repeat with the calendar disconnected and verify that no booking is claimed.
Questions, answered.
Can an AI receptionist answer questions about gym memberships?
It can answer from the membership information you provide, such as plan inclusions, guest policies and staffed hours. Keep those sources current. Configure it to ask staff about missing prices, special offers or an individual member’s account instead of guessing.
Can it book fitness classes or manage a waitlist?
Do not treat a Google Calendar event as a confirmed class reservation. Class capacity, waitlists and membership eligibility need checks in the gym’s booking system. This guide does not include a ready-made connection to that system; start with class enquiries for staff to confirm unless you have configured and tested the necessary integration.
Can it handle calls when the gym desk is closed?
Configure an after-hours path that gives approved information and collects callback details. Keep member access hours separate from staffed hours, and do not promise an immediate staff response or an unstaffed tour. Test that path before routing live calls to the agent.
Will it cancel memberships or take payments?
Those actions are not provided by this template guide. Have the receptionist collect the request and direct the caller to your approved staff or payment process. It should not ask for card details or claim that a cancellation, freeze or refund has been completed.
How should it respond to injuries or exercise advice?
Set a clear boundary: the receptionist provides gym information, not medical advice or a personalised training prescription. Have it refer exercise suitability questions to qualified staff and follow your approved emergency instructions for urgent situations.

Then build your own.
